Who we are

OrgBase is operated by 9532-9926 Québec inc. ("we", "us"). This policy explains what personal information we collect through this website and why.

What we collect

• Account details: username, email address and a scrambled (hashed) version of your password. We never store your password in readable form.
• Trial applications: your name, email, organization, job title and the reason you gave for your interest.
• Security data: your IP address, failed sign-in attempts and a session cookie that keeps you signed in.
• Billing: payments are handled by Stripe. We do not see or store your card number; we keep only your plan and Stripe customer and subscription identifiers.

The database itself lists names and job titles of board members and staff of sport organizations. This comes from the organizations’ own public websites and published reports.

Why we use it

• To create and secure your account and give you access to the service.
• To review trial applications and contact you about them.
• To bill subscriptions and answer support requests.
• To prevent abuse and keep the service secure.

We do not sell your personal information and we do not use it for advertising.

Cookies

We use one essential cookie to keep you signed in. We do not use advertising or tracking cookies.

Who we share it with

• Stripe, to process payments.
• IONOS, our hosting and email provider.

We may also disclose information when the law requires it.

Where it is stored

Your information is hosted by IONOS. It may be processed outside Québec. Contact us if you want details about where your information is kept.

How long we keep it

We keep personal information only as long as needed for the purposes above. Trial accounts expire after 3 days. You can ask us to delete your account and information at any time.

Your rights

You can ask to see the personal information we hold about you, have it corrected, withdraw your consent, or have it deleted. Write to info@orgbase.ca. We will answer within 30 days.

You may also contact the Commission d’accès à l’information du Québec or the Office of the Privacy Commissioner of Canada.

Security

The site uses HTTPS, passwords are hashed, access is restricted by role, and sign-in attempts are rate limited. No system is perfectly secure, and we will notify you and the authorities of any incident that presents a serious risk, as the law requires.

We will post any changes to this policy on this page and update the date above.
